Compile data, compute fees and charges, and prepare invoices for billing purposes. Duties include computing costs and calculating rates for goods, services, and shipment of goods; posting data; and keeping other relevant records. May involve use of computer or typewriter, calculator, and adding and bookkeeping machines.

Responsibilities:

  • Data capturing;
  • Receiving guests;
  • Filing of documentation;
  • Stock take and inventory tracking and recording;
  • Working with attorneys in terms of handling legal contracts, collecting and organizing other legal documents;
  • Responsible for assisting the HR manager in recruiting staff and other HR-related assistive tasks;
  • Any adhoc admin required by the team;
  • Customer service;
  • Managing databases, administrative records, and company information;
  • Daily admin;
  • Automating HR operations;
  • Maintaining and building on office systems;
  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time;
  • Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands;
  • General debtors administration.

Requirements:

  • A qualification in Office Management or similar preferred;
  • Matric/ Grade 12 Certificate;
  • Professional and well Presented;
  • Experience using cloud platforms, Google calendar, understanding of synchronising calendars and e-mail;
  • Relevant tertiary qualification preferred;
  • Fluency in verbal and written English is essential;
  • Excellent interpersonal ability;
  • Detail orientated with a flair for being organised and meticulous;
  • Ability to prioritize project workload effectively;
  • Demonstrated skills in developing, managing and evaluating financial and administrative plans and policies;
  • High ethics and a personal commitment to transparency and accountability;
  • Excellent oral and written communications skills in English and Tagalog;
  • Experience working with government and/or contractors;
  • 7 years’ experience, which at least five (5) years in a leadership role, with demonstrated success in an international environment (NGO or Company);
  • Program/Project Management (PMP/PMI / CSM Highly Preferred).
